OCDocs: Spreadsheets

Creating a Spreadsheet

There are two ways to create a spreadsheet:

  1. From the OCDocs home page: In the blue bar above the Docs list, select New, then Spreadsheet.
  2. From the spreadsheet editor: If you're already working with a spreadsheet, click File, then New.

Importing a Spreadsheet

Upload a File

OCDocs can import quite a few different file formats including Excel (.xls and .xlsx), Open Office Calc (.ods), text files (.txt), comma-separated values (.csv) and tab-separated values (.tsv), however, none of those files can be larger than 1Mb in size. To import a spreadsheet, in the upper left of the OCDocs home page, click the Upload button. Click the Browse button and choose the location of the file you'd like to use. Select the file, click Open and then click Upload File.

E-Mail a File to OCDocs

Another alternative way to import a spreadsheet into OCDocs is to e-mail it to yourself. Click the Upload button on the OCDocs home page. Scroll down to where you see a long, bolded unique e-mail address that's unique to your Docs account (it'll look something like this: Jane+Doe-19581450685530628587-B4a92bhv@prod.writely.com). Use that address to send yourself an e-mail with a spreadsheet attached. When OCDocs receives the message, it'll automatically add the attachment to your Docs list.

Saving a Spreadsheet

In the upper right-hand corner, you'll see two options, Save and Save & Close. Both options will open a dialog box allowing you to enter a name for your document before saving.

After you've given your spreadsheet and name and saved for the first time, the upper right-hand corner buttons will change to a grey block that reads "Autosaved" with a date and time. OCDocs automatically saves your document every time you make a change.

Exporting a Spreadsheet

OCDocs can export a spreadsheet so that you can edit it using a computer-based (rather than web-based) program or send it to a colleague. You can choose any of the following formats: Open Office (.ods), Excel (.xls), comma-separated values (.csv), HTML, or Portable Document Format (.pdf).

To export your spreadsheet, go to the File and then choose Export and your desired file type. If you choose .pdf format you'll get some additional options to choose from (e.g., how big you want it to print and which sections of your document to export).
