OCCal
What is OCCal?
OCCal is a contact and time-management web application powered by Google. It allows users to synchronize their OCMail contacts with a web-based calendar.
Logging in to OCCal
Start using OCCal by visiting http://occal.oberlin.edu. If you're already logged in to OCApps, you'll be directed right to the OCCal page. If not, you'll be first be directed to a login page (use your ObieID and password here) and then sent along to OCCal.
OCCal Basics
Changing the Default View
- Days, Weeks or Months by Default: When you open your OCCal, you may wish to view only today, the entire week, or the month by default. To choose what you'd like to see, click Settings at the top of any OCCal page. Select the General tab. In the Default view section, select an option from the drop-down menu. Click Save.
- Hide or Show Weekends: Another option is to only view the current work week without showing weekends. To do this, click Settings at the top of any OCCal page. Select the General tab. In the Show weekends section, select No. Click Save. This setting affects only your Week view and Month views. You'll still see weekends displayed when you're viewing with the Agenda view and the Next 4 Days (customizable) views.
- First Day of the Week: To change which day is displayed as the first day of week in OCCal, follow these steps: Click Settings at the top of any OCCal page. Select the General tab. In the Week starts on section, select an option from the drop-down menu. Click Save.
- Time Settings: To change how time is displayed in OCCal: Click Settings at the top of any OCCal page. Select the General tab. In the Time format section, select a format from the drop-down menu. Click Save.
Adding Events
- Quick Add: Click a spot on your calendar where a new event belongs (or use the Quick Add link) and start typing if you'd rather not bother with forms. OCCal understands whole phrases like "Brunch with Mom at Java Café 11am on Saturday."
- Using a Form: You can also add events using a regular form. Just click "Create Event" to get started.
- OCMail Integration: OCMail now recognizes when messages mention events, so when you get emailed about an event, you can add it to OCCal with just a couple clicks. Look for the OCCal links on the right side of your OCMail window.
Deleting Events
Click on an event in the main view of your calendar and when the popup dialog appears, click Delete. If this is a reoccurring event, you will have the opportunity to delete all future events, all future and past events or only the one you've selected.
Managing Multiple Calendars
1. Create Multiple Calendars
You can set up multiple calendars for different areas of your life, like one for your softball team's practices and games. Click the "Create" button in the My Calendars box to get started.
2. Subscribe to Additional Calendars
Click the "Add" button next to "Other Calendars" to view shared calendars right alongside your own. You can search for public calendars, ask to view your friends' calendars, and automatically add holidays.
3. Showing and Hiding Calendars
These checkboxes let you show and hide events from different calendars to customize what you see.
4. Changing Calendar Color
You can also change the color of events from different calendars to help you distinguish one from another. Click the small triangle next to a calendar's name to pick a new color.
Proposing Events and Reminders in OCCal
To view the sharing options for a given event, click on the event in the main window and then click on edit event details >>. Here you can not only change the date, reoccurrence and other details about the event, but also send invitations to others to a given event, view RSVPs for that event and set up reminders to yourself about events.
1. Sending Invitations
You can invite other people to any event on your calendar simply by adding their email addresses in the Guests section of the event. By default, events that are proposed to you are automatically added to your calendar. If you would like to manually respond to and add events to your calendar, rather than allowing OCCal to automatically add them, go to the Settings button and choose the radio button beside No, only show invitations to which I have responded on the General tab. Don't forget to Save your changes.
2. Guest RSVPs
Guests can RSVP to your invitations by email, whether or not they use Google Calendar themselves.
3. Guest Comments
Comments submitted by your guests are displayed for all your invitees to see.
4. Event Reminders
Reminders help you keep track of important events. You can choose to be notified by email, popup window or text messages sent to your mobile phone.
Sharing Your OCCal
You can share your calendar with a specific group, make your calendar available to the public, put it on your website or let others to subscribe to it.
Sharing a Calendar With a Specific Group
To share your calendar with other OCCal users (for example, your group, organization, or department):
- In the left-hand My Calendars list, find the calendar you want to share. Click the drop-down arrow, and then select Share this calendar. Or you can click on the Manage Calendars link, find the calendar you want, and then click its Share this calendar link.
- In the Person text box, type the e-mail address of the person with whom you want to share. Choose a Permission Setting, and then click Add Person.

Possible Permissions Settings
- Make changes and manage sharing : This setting give people you're sharing with the same privileges that you have as owner of the calendar. They can add or edit events, invite others to see the calendar, and even delete the calendar. You probably shouldn't select this setting for any of your contacts unless you're absolutely certain you want to do that.
- Make changes to events : People with this permission level can add, edit, and delete events but can't share the calendar with anyone else or delete it (but they can remove it from their own calendar lists)
- See all event details : This allows people to see an event's details and add the event to their own calendars, but they can't change or delete and event on the shared calendar. This is OCCal's default sharing setting.
- See only free/busy (hide details) : When you select this option, people can see that you've some time blocked off, but not the details of the event. This option's helpful when you need to share a calendar with coworkers but don't want them to know the reason you're busy.
Changing Permissions Settings
To change or remove someone's sharing privileges, in the left-hand My Calendars list, first find the calendar you want, and then click its drop-down arrow. From the list that appears, choose Share this calendar to get the calendar's details page. There, look in the Share with specific people section and find the person you want. To change his sharing privileges, click the drop-down list next to his name, and then select a new permission level. Click Save.
Making a Public Calendar Private
If you want to stop sharing a public calendar, go back to that calendar's Share tab and turn off the Make this calendar public and then click Save.
Printing a Calendar
In your My Calendars list, select the one you want to print by turning on its checkbox. If you want to print a different view from the one showing now, choose the appropriate tab. Then, to the left of the view tabs, click the Print link.
Exporting and Importing External Calendars
The application can import Microsoft Outlook calendar files (.csv) and iCalendar files (.ics). If you need to export your calendar from MeetingMaker, follow the instructions here.
At the bottom of the "Other Calendars" list on the left, click the "Add" button and select "Import Calendar."
Choose the location of your saved .ics or .csv file, choose the calendar you'd like to import into (generally your primary calendar, marked with your Oberlin e-mail address) and click Import.
