Exporting Mail Messages from OCMail
If you're a graduating senior (note: accounts for seniors will remain active until Fall Break following your May graduation, after which it will be deleted and the data will be irretrievable) or departing faculty or staff member, you may wish to export all of your e-mail messages from your OCMail account to an external e-mail account. This process is very similar to the process that was used when converting to OCMail.
Using GMail's Mail Fetcher Tool
If you are moving your OCMail to a GMail account, the easiest way to transfer all of your mail is to utilize GMail's Mail Fetcher tool. To use it, first log in to your OCMail account and click on "Settings", then click on the "Forwarding and POP/IMAP" tab. In the POP Download section, choose "Enable POP for All Mail". Next, log in to your GMail account and go to the "Settings", then navigate to the "Accounts" menu. The second option in this menu should be "Get Mail From Other Accounts", with options to "Add another account" and "Learn More". The settings you'll need that are specific to Oberlin are as follows:
- Email address: obieid@oberlin.edu (your ObieID is generally your first initial and the first seven letters of your last name)
- Username: obieid@oberlin.edu (make sure you append the @oberlin.edu)
- Password: Your ObieID password
- POP Server: pop.gmail.com
After that process is complete (which will grab all your old mail from OCMail and place it into your personal account), you will want to set up a forwarding address, which will move all of the new mail as it comes in to your OCMail inbox to your personal GMail account. Information on setting up mail forwarding is here on Google's website: http://mail.google.com/support/bin/answer.py?hl=en&answer=10957 . You'll need to do that from within your OCMail account.
Using a Desktop Mail Client to Move E-Mail
If you are not migrating to a GMail address or, for whatever reason, do not wish to use Google's Mail Fetcher tool, you can manually move messages from one account to another by configuring both accounts in a desktop e-mail client such as Mac Mail or Thunderbird for Macintosh or Windows and dragging the folders between accounts. Instructions for this process using various clients is found below:
Thunderbird for Windows
First, configure Thunderbird to access your OCMail account using IMAP. Then, set up Thunderbird to also connect with your personal e-mail address (please note: CIT does not provide instructions on how to use or configure your personal e-mail account Yahoo! or Hotmail in Thunderbird. You will need to contact your e-mail provider for assistance).
Once you have both accounts configured, in your left-hand sidebar you should see GMail's permanent labels (All Mail, Drafts, Sent Mail, Spam, Starred and Trash), any labels you have set up within OCMail and below those, your personal e-mail account and Local Folders if you have them. To transfer these messages, simply drag the OCMail folder containing messages you want to the appropriate label under your personal e-mail account. When you drag each folder, you should see "Copying Message" in the lower left-hand corner of the window in the status bar, indicating that the messages are being moved successfully.
Once you have dragged all of the folders to your personal e-mail account, login to that account and check to make sure all of your messages have been moved correctly. After you have made certain that nothing got left behind during the transfer, you can remove your OCMail account from within Thunderbird. Simply go to the Tools menu and select Account Settings. Highlight the OCMail account and click Remove Account.
Note: CIT has discovered a known issue in which messages being moved in Thunderbird for Windows move correctly for the first 3-5 folders, and then fail to move (not displaying the "Copying Message" in the lower left-hand corner). Closing Thunderbird and reopening it will resolve the issue. For this reason, it is critical that you check the your personal e-mail account for all of your messages prior to deleting any local folders or removing any accounts.
Thunderbird for Macintosh
